Payment Information
All Activities Included!
Tuition: All of our activities are included in our stated tuition rates. Unlike other camps, there are no added fees for horseback riding, wilderness trips, specialty arts and crafts projects, or other fun at Camp Birchwood. That said - there are some other costs your camper may incur that you should know about!
Pop/Candy: Campers who clean their cabins earn the option of purchasing pop and/or candy on a day-by-day basis. This typically totals approximately $40 for 2-weekers and $80 for 4-weekers (assuming they get their “capers” done!).
Birch Merch/Camp Store: All campers have the opportunity to purchase Birch Merch at the Camp Store, as well as forgotten essentials like toothbrushes, hair ties, stamps, etc. You may set a budget for your camper prior to her arrival, and you will be invoiced for her purchases at the conclusion of her session. The invoiced amount will include any pop or candy purchased by your camper (mentioned above) and any travel fees incurred with Camp (mentioned below).
Travel Fees: If your camper is local to Minnesota (or you love a roadtrip!), you may drop her off at Camp and pick her up, or you may elect for her to take our bus from our pick up location in the Twin Cities for a bus fare of $75 one-way/$150 round-trip. We recommend she take the bus to Camp ($75), and that you pick her up at the end to receive a full tour from your very own Camp Professional. There is no better way to get an idea of the experience she has had than to see our location first hand while she regales you with tales of her adventures!
If your camper is flying in from out of state then in addition to airfare your camper will take our bus from MSP to/from Camp for a bus fare of $75 one-way, or $150 round-trip. If you elect to send your camper on a chaperoned flight from LAX, ORD, or MCI, please note there is a $60 chaperone fee each way ($120 round trip), however, chaperoned campers do not incur Unaccompanied Minor fees. If your camper is flying in from out of state and a chaperoned flight is not an option, she may incur Unaccompanied Minor Fees (currently approximately $80 one-way/airline dependent). These fees are current as of Fall 2025 and are subject to change as a result of inflation or due to rate changes with our travel partners.
Ship Camps: We ask that our campers traveling by plane send their bags in advance to Camp via ShipCamps. The earlier you book your ShipCamps the more affordable it is! Your camper may fly with her bags for her return home, but you may incur baggage fees with your airline, so please budget accordingly. If Camp has to pay for your baggage fee, we will simply invoice your camper’s store account at the conclusion of her session at cost for reimbursement.
Camp does not receive any profit from travel fees, ship camp fees, baggage fees, etc. As every camper’s travel to/from camp is unique to her, to keep our tuition as low as possible we invoice individually for these additional charges as appropriate. Our only goal is to keep your child’s journey to/from Camp as stress-free and as safe as possible.
There is a $1,500 deposit due at the time of enrollment for two and four-week sessions. There is a $2,000 deposit due at the time of enrollment for eight-week sessions.
You may pay in full at the time of enrollment or select an automatic monthly payment plan, in which case the credit/debit card or eChecking account you have on file will be auto-charged monthly with tuition divided into equal payments until May 1st. Alternatively, you may elect to pay by paper check, but this option ends on March 1st. If you elect to pay by check, please mail your monthly payment in a timely fashion and ensure your account remains current.
Tuition is due in full by May 1st.
Payment Terms
Payment Methods
We accept payment via ACH/echeck, debit, and all major credit cards. For your convenience, we auto-bill on the tuition due dates (the first of each month, but leave some wiggle room for processing days falling on holidays, etc.!). We also accept paper check for payment until March 1st, after which time all payments must be electronic.
Payments made by credit card incur a 3% processing fee, and payments made by ACH/echeck incur a 1% processing fee. There is no fee to pay by debit card or paper check. The option to pay via paper check ends on March 1st. Tuition is due in full by May 1st.
Cancellation Policy
There is a $250 administrative fee for cancellations after October 1st. We offer a full refund (less $250 fee) for cancellations prior to March 1st, a 50% refund from March 1st - March 31st, a 25% refund from April 1st - April 30th, and NO REFUNDS beginning on May 1st. This No Refund Policy after May 1st is industry standard. Cancellation insurance is available at the time of enrollment via CampinTouch - a third party, which we have no affiliation with nor profit from. Cancellation policies cost an average of $370 (standard coverage, 4-week session) to $550 (“cancel for any reason”, 4-week session). Coverage is completely optional and is typically less expensive for 2-week sessions and more expensive for 8-week sessions. Rates are set by the insurance provider and not Camp Birchwood. To protect our families’ ability to purchase cancellation insurance we simply cannot make exceptions to our Refund/Cancellation Policy. Please note: a reduction from a longer session to a shorter session constitutes a “cancellation”. For example: If you’ve enrolled in a 4-week session but after May 1st can only attend a 2-week session, even if we have room to change your camper’s enrollment to a 2-week session, you would still owe tuition at the 4-week rate! This is true for 8-Week sessions reducing to 2 or 4-week sessions as well. Thank you for your understanding!
